At Acadia, we offer ClosePay, a smart and convenient way to manage your workers compensation premium. This allows you to pay based on your actual payroll cycle, ensuring a more accurate premium and simplifying your financial management.

What is ClosePay?

ClosePay is our secure web service designed to align your workers compensation premium payments with your actual payroll. This system reduces the variability between your premium paid and final audit results, providing accuracy and predictability. With ClosePay, your payments directly reflect your business activity, are drafted via Electronic Funds Transfer (EFT) following your payroll schedule, and typically require no upfront deposit premium. It's a key differentiator that helps you avoid surprises at audit.

Once enrolled, you'll register on the secure ClosePay website. Each pay cycle, you'll upload your payroll file (or it can be uploaded directly by your qualified payroll company). This generates your premium and an email invoice, and the premium owed is then pulled from your bank account via EFT the following business day. SmartPay participation doesn't waive the audit requirement at expiration.
ClosePay works seamlessly with qualified payroll companies that can upload payroll figures directly for you. You can also self-report via manual entry or use an Excel template provided by SmartPay Solutions. SmartPay Solutions also offers a reporting service for an annual fee ($325) for eligible customers; contact them for more details. In order for the premium to be accurate, payroll needs to be reported by classification. If you need assistance classifying employees, please reach out to your insurance agent.
You can enroll in ClosePay at the start of your first or next policy cycle. Simply contact your Acadia insurance agent to request enrollment, and a ClosePay administrator will then reach out to you to begin the registration process.
No. This is a billing option open to any customer who meets our qualification standards.

ClosePay is available for customers in good standing. It is only available at the time of new business or renewal (cannot be added mid-term).
